Job Description
- Acquire space at hotels, transportation. attractions, and food & beverage venues in Alaska & the Canadian Rockies.
- Submit, review, and sign contracts with vendors.
- Acquire rates and agreements.
- Serve as the primary contact for all hotels, attractions, and food & beverage venues in Alaska & the Canadian Rockies.
- Serve as the primary contact for Tour & Cruise Managers, Anchorage ground operations.
- Create and maintain a liaison between the Lake City corporate office and Anchorage.
- Submit sales updates biweekly starting in January.
- Assist in design and execution of all Alaska itineraries.
- Assist in creation of supporting documents for optional excursions for groups and FITs.
- Book optional excursions as required by Lake City team.
- Charge completed optional excursions in Square platform, filing transactions.
- Assist with recruitment, hiring, and training of Alaska staff.
- Conduct preseason staff meeting with accompanying documentation.
- Lead the acquisition of motorcoach & office supplies preseason; monitor inventory and ordering.
- Assist in acquiring permits for vehicles including airport permits, Alaska State Parks, Alaska Railroad Corporation.
- Meet with partners preseason to acquire final details related to contacts, menus, logistics, quality control, and schedule.
- Manage Anchorage ground operations including training of staff for guest airport greets and scheduling; assist with group and individual guest airport greets; transport guests to hotel or further transportation.
- Oversee all departure mornings at Anchorage hotel partners: The Lakefront; greet guests, gather meal preorders, verifying guest luggage is accounted for prior to loading, assist in loading bags into motorcoach.
- Oversee all Arrival Manifest & Departure Manifests sent by Anchorage Lead Ground Operations.
- Send Rooming List to hotels, transportation, attractions, and food & beverage venues in Alaska & the Canadian Rockies; includes special needs, dietary concerns, return guests, VIP/FAM guests, and itinerary overview; sent at 30 days and within 1 week of departure.
- Receive flight delays and cancellations from Lake City office; contact guests to discuss concerns and special requests such as meals on arrival.
- Assist with lost & found, shipping, and guest contact.
- Provide logistical support and solutions to Tour & Cruise Managers when weather, wildlife, roadway, and guest complications and cancellations occur.
- Accompany Tour Managers on tour when necessary to assist with guests’ needs and daily duties; occasional travel to other Alaska locations to assists groups.
- Coordinate cleaning crews and create schedules in Anchorage and Fairbanks.
- Finalize all Tour Manager & Cruise Manager packets including itinerary, meal preorders, gratuities, and supporting documentation supplements.
- Review and filing of all Tour Manager & Cruise Manager packet documents; mail to Lake City office.
- Review of all guest evaluations and correspondence with partners of challenges and praise.
- Monitor issues with partners and address accordingly throughout the season.
- Manage petty cash including gratuities for partners and petty cash for Tour Managers.
- Book flights for deadhead drivers, along with accompanying accommodations.
- Keep record of expenses and receipts; submit expense report.
- Report payroll for Alaska Tour & Cruise Managers, Anchorage ground operations biweekly.
- End of season reports to include Alaska State Parks, Chugach National Forest/Begich Boggs VC, Alaska Wildlife Count, Fairbanks International Airport.
- Meet with partners postseason to discuss overall product and services; provide guest feedback.
Position Requirements
- Associates degree or two other equivalent two-year degree preferably with business knowledge.
- Proficient use of computers including Microsoft programs – Excel, Word, PowerPoint and Outlook.
- Organized and attention to details.
- Ability to successfully manage multiple tasks, projects and individuals at one time.
- Ability to prioritize work making sure all deadlines are met.
- Ability to work in a team environment while giving direction and guidance to Tour Managers.
- Clear communication skills and ability to take charge.
- Three years’ experience in tour operations.
- Management experience is preferred.
