Convention Volunteer Agreement

This Volunteer Agreement is a description of the arrangement between us, the Alaska Travel Industry Association (ATIA) and you, the volunteer, in relation to your voluntary work. The intention of this agreement is to assure you that we appreciate your volunteering with us and to indicate our commitment to do the best we can to make your volunteer experience with us a positive and rewarding one. Please read through the entire volunteer agreement and complete the form fields below.

Your role as a volunteer is to:
Support staff during ATIA’s Convention in Sitka (October 9th-October 13th) in support of activities related to the check-in process, banquet setup and auction, traffic flow, and delegate bag stuffing.

ATIA commits to the following:

  • Induction and training
    • To provide an orientation or training related to the work, its staff, your volunteering role, and the training necessary to assist you in meeting the responsibilities of your volunteering role.
  • Supervision, support, and flexibility
    • To define appropriate standards of our services, to communicate them to you, and to encourage and support you to achieve and maintain them as part of your voluntary work.
    • To provide a personal supervisor and/or contact who will meet with you to discuss your volunteering.
    • To do our best to help support your volunteering role with us and to be flexible in how we use your volunteering.
  • Health and safety
    • To provide, to the best of our ability, a healthy and safe environment.
    • ATIA will follow all Center for Disease Control, State of Alaska, and community guidelines related to COVID-19 for gatherings.
  • Equal opportunities
    • To ensure that all volunteers are dealt with in accordance with our equal opportunities policy, a copy of which is included at the end of this document.
  • Problems
    • To strive to resolve in a fair and just manner any problems, grievances or difficulties which may be encountered while you volunteer with us.
    • In the event of an unresolved problem, to offer an opportunity to discuss the issues in accordance with the procedures set out in ATIA’s employee handbook.

As a volunteer, I agree to commit to the following:

  • To help ATIA fulfill its goal of hosting a fun, safe annual convention.
  • To perform my volunteering role to the best of my ability.
  • To adhere to ATIA’s rules, procedures, and standards, including health and safety procedures and its equal opportunities policy in relation to its staff, volunteers and clients.
  • To meet the time and work commitments and standards undertaken, other than in exceptional circumstances, and provide reasonable notice so that alternative arrangement can be made.
  • To carry my own personal insurance, (i.e., vehicle insurance, health insurance, or other personal injury related insurance coverage) or waive ATIA’s liability in the event of an accident or personal injury I may encounter while volunteering for ATIA.
  • To notify my supervisor or contact or another team member of any health and safety issues or potentially hazardous situation that may pose a risk to you or others and report any accidents or incidents relating to ATIA team members, volunteers.
  • To be courteous to all ATIA team members, Board of Directors and members during your volunteer role.
  • To use any property or equipment given to you in your role safely and only for its intended purpose and return it to ATIA when you finish your volunteer efforts.
  • To let us know if you wish to change the nature of your contribution (e.g., hours, role) to ATIA any time.
  • To always comply with the law, and to be open and honest in your efforts with ATIA and to let us know if we can improve your volunteer experience and the support you receive.
  • To excuse myself from participating as a volunteer at the Sitka Convention if I have any of the following COVID-19 symptoms: Fever higher than 100 degrees Fahrenheit, chills, cough, shortness of breath, fatigue, muscle or body aches, headache, new loss of taste or smell, sore throat, congestion or runny nose, nausea, or vomiting, and/or diarrhea.

This agreement is binding in honor only, is not intended to be legally binding contract between us and may be cancelled at any time at the discretion of either party. Neither of us intends any employment relationship to be created either: now or at any time in the future.
