OPERATIONS ADMINISTRATOR

Job Description

Position Summary

This Operations Administrator role will serve as a key member of an extremely collaborative team across Pursuit’s Alaska Collection. Primarily responsible to support the VP & GM with calendar management and other business-related tasks, this role also provides strong support for the Anchorage Office, People & Culture and other Senior Leaders across Alaska lines of business. An Operations Administrator is part executive assistant, part office manager, part project coordinator, part event-planner, part record keeper, and part air-traffic controller for the operations across Alaska Collection’s lines of business. This important support role provides the glue that helps to keep a high-functioning team and office environment working smoothly.

Key Responsibilities
/ Develop a solid understanding of all Alaska Collection business locations and services offered.
/ Identify key strategic internal and external partners necessary to manage assigned tasks and anticipate work that will improve efficiency.
/ Manage meetings, Outlook and Teams calendars, travel schedules, and details related to the workload of the VP & GM. Assist with similar tasks for other key AC leaders.
/ Record meeting minutes/notes and communicate meeting updates and action items to AC’s Senior Leadership Team.
/ Continuously look for safer and more efficient ways of doing things.
/ Help foster an environment of clear and timely communications and well-planned task timelines between AC leaders and staff.
/ Promote the Pursuit culture by assisting with team events, animation and experiences that drive engagement, learning and fun.
/ Establish Standard Operating Procedures and best practices as needed to streamline and improve support tasks and office operations.
/ Develop relationships and credibility with and business partners, vendors, or other support staff across Pursuit to share ideas and ensure high-quality work.
/ Support administrative functions in all areas to include organization of vendor contracts, procurement, materials delivery to lodges, daily mail, general cashier tasks, invoices, office supplies, office maintenance, closure announcements and phone rosters.
/ Work with industry affiliates and community businesses to coordinate corporate donations for AC lines of business.
/ Maintain AC’s business and liquor licenses, vehicle registration, storage facilities and other AC business priorities.

Ideal Experience
/ A minimum of 3 years of office work experience in a guest-facing or support services role.
/ Experience in working in travel, food & beverage or hospitality preferred.
/ Strong working knowledge of and ability to use Microsoft Office tools (PPT, Excel, Word,
Outlook, Teams)
/ Basic familiarity with tools to track tasks as assigned and ensure all are completed on time.
/ Experience working with basic accounting tasks and fundamental budget tools preferred.
/ Experience building relationships and working on diverse and collaborative teams.
/ Ability to organize and prioritize multiple tasks in a fast-paced environment.
/ Ability to coordinate several projects, maintaining timelines on deliverables and
tracking/reporting of status.
/ Self-starter, willingness to jump in where needed while working independently with minimal
supervision.

Additional information
Ability to travel outside of Anchorage to other Alaska properties to support the business or to support meetings will be required. The nature of this position may require some work to be performed at nonstandard hours or at times on holidays or weekends.

This job is based in Anchorage, AK USA and current, legal ability to work in the U.S.
is required. While work schedules may be flexible, this is not a 100% remote role.
